COVID Planning

Deciding whether to attend a conference in person or virtually in the middle of a pandemic can be nerve-racking. We hope the following information will help you in deciding which option best suits your needs.

Please fill out the SOLE22 - Covid-19 Certification Form. This form is required to be completed by ALL in-person attendees of the State of Lake Erie Conference to meet compliance with COVID-19 protocols.


We’re monitoring health and safety guidelines for large group gatherings from the CDC and the Ohio Department of Health. We plan to follow all guidelines to make SOLE22 as safe as possible for attendees. We’ll update this page regularly as things change, so please check back to ensure that you have the latest information.

What's required of all in-person participants

All attendees, speakers, exhibitors, and staff will need to meet the following requirements. We appreciate your compliance with these measures to help protect the health of your fellow participants.

  1. A face mask that completely covers your mouth and nose must be worn at all times in public spaces, except when presenting or eating or drinking in designated areas.
  2. Full compliance with all in-effect CDC and Ohio Department of Health guidelines for large gatherings.
  3. Fall into one of the following categories and provide the designated documents for each:
    • Fully vaccinated (see below), symptom free (see below) , and no positive diagnosis within last 14 days. No testing is required. Printed or digital vaccine documentation required.
    • Partially vaccinated or not vaccinated due to medical or other waiver. Must be symptom free and no positive diagnosis within last 14 days. Sufficient documentation to substantiate a waiver is required. Those that are partially vaccinated (last vaccine within 14 days)  please present vaccination documents.  All in this category must present results of a negative PCR test taken within last 72 hours (see below). Please time your test correctly to receive results by the time your arrive.
    • Have recovered from a positive covid diagnosis between 14 to 90 days ago and are symptom free. If you recently recovered from COVID-19, you may instead attend with documentation of recovery from COVID-19. Must provide your positive COVID-19 viral test result on a sample taken between 14 and 90 days ago and a letter from a licensed healthcare provider or a public health official stating that you were cleared to travel.

Definitions

Fully vaccinated: In general, people are considered fully vaccinated 2 weeks after their second dose in a 2-dose series, such as the Pfizer or Moderna vaccines, or 2 weeks after a single-dose vaccine, such as Johnson & Johnson's Janssen vaccine. We encourage all participants to follow CDC guidance on the need for additional shots. CDC recommends that people remain up to date with their vaccines, which includes additional doses for individuals who are immunocompromised or booster doses at regular time points. Symptom free: Not showing any of the signs as defined by the CDC. (See Symptoms of COVID-19, CDC)

Testing: A negative result from an accredited provider that was conducted using a NAAT method (e.g PCR or equivalent). (See Nucleic Acid Amplification Tests (NAATs), CDC)

On Site

  • Masks and hand sanitizer will be available
  • Careful considerations for your health and safety during food service
  • Social Comfort Zone colored stickers will be available to signal how you would like to navigate the conference:
    • Red: No contact - 6 feet apart; no exceptions
    • Yellow: Elbows only - Still being cautious
    • Green: High fives & handshakes - Frequent hand washing

If large gatherings aren't feasible in March

If we cannot safely gather in Cleveland in March, SOLE 2022 will convert to a virtual-only event. In-person registrants will have the opportunity to convert their ticket to a virtual one (and get a refund for the difference) or cancel their registration and receive a full refund.

These requirements may change in accordance with best practices at the time of the conference. We will update this page and send email to registered attendees about any changes.
