Call for Sessions & Workshops

Session Chair Responsibilities

Solicit abstracts & interact with authors: Once the sessions are established, session chairs are asked to solicit at least 6 to 8 abstracts to help form the session. Sessions are most successful when the chair or co-chairs recruit interested speakers well in advance of the abstract submission deadline in January. All contributors must submit an abstract through the IAGLR website once the Call for Abstracts is available. Session chairs will monitor the abstracts being submitted to their session and work with the authors to edit or modify as needed. Once abstracts have been accepted, session chairs are responsible for confirming acceptance with each presenter.

Schedule presentations: If fewer than 4 presentations are received for a given session, the conference program chair will consult with the session chair(s) either to combine the submitted abstracts with another session or create a new session title with similar abstracts submitted to other sessions. When all abstracts are assigned to a session, the session chairs will determine the order of presentation within their session and confirm scheduling with each presenter.

Run session: During the conference, it is the duty of the chairs to help ensure that the session runs smoothly and is successful for both the presenters and the audience. Session chairs are expected to introduce the session, introduce each presenter, manage the time to ensure each presentation is on time (20-minute time slots must be adhered to), and facilitate the question and answer period within the final 5 minutes of the time slot.

All speakers including session organizers must pay registration fees.


Workshop Organizer Responsibilities

Planning, marketing, and registration for workshops is handled by the workshop organizers (not IAGLR), though IAGLR does cross-promote the workshops to conference registrants. The IAGLR20 program chair and conference coordinator will work with workshop organizers to suggest optimal locations and times for the proposed workshop(s) to best accommodate their needs and their fit into the larger IAGLR program. Workshop organizers will be contacted by the program chair to discuss their proposal.

Chair Notification

Chairs will be notified in late November regarding acceptance of their session. Chairs of confirmed sessions will also receive further instructions at that time. The Call for Abstracts will follow.

Difference between a Session and Workshop

Session

  • Included in Call for Abstracts to solicit abstracts for 20-minute presentation slots
  • Requires at least 4 abstracts to be included in program
  • Varies in length depending on number of abstracts
  • Runs concurrently in tracks during the day Tuesday-Friday of conference week

Workshop

  • Associated event, such as a training
  • Not included in Call for Abstracts
  • Scheduled for Monday or Friday of conference week
  • Generally runs for up to four hours
  • Takes place in a lab, meeting room, or outdoor location, depending on topic and goals of workshop
