Session Chair Responsibilities

Solicit abstracts & interact with authors: Once the sessions are established, session chairs are asked to solicit at least 6 to 8 abstracts to help form the session. Sessions are most successful when the chair or co-chairs recruit interested speakers well in advance of the mid-January abstract submission deadline. All contributors must submit an abstract through the IAGLR website once the Call for Abstracts is available. Session chairs will monitor the abstracts being submitted to their session and work with the authors to edit or modify as needed. Once abstracts have been accepted, session chairs are responsible for confirming acceptance with each presenter.

Schedule presentations: If fewer than 4 presentations are received for a given session, the conference program co-chairs will consult with the session chair(s) either to combine the submitted abstracts with another session or to create a new session title with similar abstracts submitted to other sessions. When all abstracts are assigned to a session, the session chairs will determine the order of presentation within their session and confirm scheduling with each presenter.

Run session: During the conference, it is the duty of the chairs to help ensure that the session runs smoothly and is successful for both the presenters and the audience. During the conference (whether in person or virtual), session chairs are expected to introduce the session and each presenter, manage the time to ensure each presentation adheres to the 20-minute time slots, and facilitate the question and answer period within the final 5 minutes of each time slot.

All speakers including session organizers must pay registration fees.

Workshop Organizer Responsibilities

Planning, marketing, and registration for workshops is handled by the workshop organizers (not IAGLR), though IAGLR does cross-promote the workshops to conference registrants. The IAGLR 2021 program co-chairs and conference coordinator will work with workshop organizers to suggest optimal times for the proposed workshop(s) to best accommodate workshop needs and their fit into the larger IAGLR program. Workshop organizers will be contacted by the program co-chairs to discuss their proposal.
